Position: Investment Operation Assistant
City: Montreal
Investment operation assistant position at an investment management firm in old Montreal.
Job Description:
Reporting directly to partners, the successful candidate will be involved in the rollout and ongoing support of our securities holdings books and records and investor services systems;
Securities reconciliation duties
• Assisting in securities reconciliation
• Assisting process analysis and re-engineering, system configuration and testing;
• Responsible for ongoing data management;
• Participating in the team responsible for supporting portfolio accounting, operations and reporting functions in Montreal in order to provide services to our local and global clients;
• Ensuring that portfolio securities holdings and investor data is maintained in relevant systems in a timely and accurate manner;
• Design and implementation of automated processes for portfolio and reporting;
• Assisting in client on-boarding process for new clients;
• Assisting in gathering client requirements and reporting;
• Demonstrating keen awareness of industry and technology; and
• Working with systems vendors and other third parties to resolve issues and developing bespoke client solutions and participate in defining project specifications and roll-out of re-engineered processes.
• Assisting in filling out questionnaires from institutional investors using an internal FAQ document.
Backup trader duties
• Send trade details to custodians.
• Send trade and commission reports to the portfolio management team.
• Send trade files to clients, deal with settlement issues, process FX in accounts.
• Review cash balances vs custodian and update where necessary.
• FX verification
• Run end of day batch file so trades will be updated in PMA.
• Process management fees and initiate wire transfers between custodian accounts to firm bank accounts.
• Onboarding new client accounts: Update portfolio information, update user defined fields, create value categories, add securities to new portfolio when transition manager involved, add withholding tax percentage by country, add securities to new portfolios as transfer in kind.
• Onboarding new broker-dealers: Settlement instructions to be added to system setup.
Business development assisting duties (ad-hoc)
• Ensuring that portfolio securities holdings and investor data is maintained in relevant systems in a timely and accurate manner.
• Assisting to update the marketing presentations.
• Assisting in filling out questionnaires from institutional investors using an internal FAQ document.
Key Skills & Experience:
• Work ethics and attention to detail
• Undergraduate degree in math, engineering, science, or other relevant field
• 3+ years of experience
• A technical background with strong Microsoft Excel skills and coding skills or experience with other programing languages will be an asset but not required.
• Possess strong research and data analysis skills
• Strong mathematical skills required
• Strong ability to communicate, verbally and written skills for reports
• Eager to learn, and be challenged on your ideas and thesis
• Ability to adapt to a dynamic environment; ability to multi-task and take on new responsibilities.
• Fund administration, trading experience or investment management back office preferred but not required.
