International Student Educational Support Coordinator-Maternity Leave Contract

We are looking for a quick thinking, organized individual, with outstanding communication skills to join the team in our
fast paced office in downtown Toronto. This person will be the Educational Coordinator supporting international
students entering into Canadian High Schools across Canada (with a focus on students in Ontario, Quebec, and New
Brunswick). The ideal candidate must be able to demonstrate excellent communication and listening skills, be fluent in
spoken English and Japanese, have a valid driver’s license as well as extensive experience working with international
students, working within the Canadian high school system and Canada Immigration is an asset
The Educational Coordinator will focus on supporting the Academic Year Program students and will be working with
international partners that organize student’s program in Canada. He/She manages the student process – application,
registration, course selection, government documentation all leading to the student’s arrival in Canada. Once the
students arrive the Coordinator provides personal support, monitors the student’s progress and manages their
experience in Canada to ensure academic and overall success. This process involves elements within the office and
but also travel to various locations across Ontario (and beyond from time to time) to visit with the students, their schools
and host families.
Major Duties and Responsibilities:
I. Operations - Student Support & Care
• Responsible for students from Japan coming to Canada
• Receive and process international students’ applications assess applications, review academic and other
pertinent information/documentation and determine admissibility
• Provide appropriate documents for accepted students to apply for study permits through Citizenship and
Immigration Canada (CIC), this includes signing official Custodianships documents.
• Monitor the progress of the student during their stay in the program (i.e. academic, attendance, social and
emotional development, etc.)
• Provide continuous support and counsel of the students during the program, maintaining strong
communication with the student at all times.
• Visit with the students in person at school by driving to their communities
• Act as the main contact for the student and consult with teachers, parents, administrators, school boards,
community agencies, and homestay families as necessary
• Deal with crisis intervention as needed and provide direction as required as their Custodial Guardian
• Continually follow-up with the students and process their report cards, progress reports, and other
documents to their overseas agent/parents.
• Maintain accurate information on the student database at all times
• Provide student reports to the agents, school, natural parents as required
• Assist at the airport with arrival and departures and with anything that may come up
• Flexibility in work hours/extended hours necessary (may be required to work evening and weekends)
• Any other duty assigned by the Manager the pertains to the area of the international student program
II. Liaising with International Contacts / Agents / Sales Support teams
• Establish excellent relationships with overseas schools and agents who send students to our programs, and
work to support their efforts to recruit more students to our program
• Mediate any problems that may occur with overseas clients
• Respond to inquiries, liaise and communicate with prospective applicants
• Liaise with all program parties to ensure all goals are met for the student’s program from beginning to end
• Perform designated duties as assigned for marketing or sales purposes
• Assistance in designing and participation in executing specialized familiarization tours profiling new towns or
products for new or current clients
• Provide Japanese language support to the sales teams on calls, during meetings and interpreting material
• Liaise with agents and help them learn and understand MLI’s programs
• Support the efforts of the sales team as MLI expands into the various markets
III. Accounting
• Liaise with Accounting on accounts payable and accounts receivable pertaining to each student as needed
• Process and maintain accurate financial information regarding all international student cases, e.g., collecting
application, registration, tuition, custodian, insurance, and homestay fees, etc.
Desired Skills & Experience
Experience:
• 3 - 5 years of working within the International Education business preferably as a student counsellor
• Education: completion of post-secondary diploma or degree
• Experience in youth and/or counseling work
• Working knowledge and understanding of the Canadian Immigration system and its requirements
• Working knowledge and understanding of the Canadian High School Education system and policies on
student admissions.
• Working in fast paced environment and able to adapt quickly
• Experience with public speaking
Skills Required:
• Speak, read and write English and Japanese – MUST be fully bilingual
• Excellent communication skills – listening, written and oral
• Excellent command of Microsoft Office 365 Suite including advanced skills in Excel, Word, Outlook and
Power Point
• Excels at working independently and as part of a team. Has had experience dealing with complex
interpersonal situations with colleagues, students, families, etc.
• Has expertise, and can demonstrate the ability to handle a high level of tasks and requests and is able to
process these in a timely and efficient manner each day
• Strong ability to mentor, motivate and support students entering Canada
• Strong problem solving and ability to remain calm in crisis situations
• Detail oriented and diplomatic
Other Requirements
• the candidate must be either a Canadian Citizen or a landed Permanent Resident
• the position requires a valid driver’s license and at least 5 years continuous driving experience
• the candidate must be flexible in work hours/extended hours
• the candidate must have, or be willing to obtain, a clear criminal record check
• the candidate must be able to sign student custodianships forms
