Job Description:


This position is for our Master's of Education program in Vancouver, BC.

Summary: Provides general administrative support and customer service and coordinates office operations for the program or department under general supervision. Apply knowledge of supervisor's work commitments, including status of projects and nature of contacts in responding to inquiries, setting priorities, arranging meetings, etc.

Essential Duties and Responsibilities include the following; other duties may be assigned:
•Provide administrative support duties to maintain office operation, including but not limited to the following:
1. Track departmental expenditures; create and process financial documents;
2.Screen and direct calls; greet visitors; and respond to frequent inquiries regarding programs by telephone or correspondence;
3.Schedule meetings, interviews, or special events;
4.Prepare event arrangements, announcements, agendas, reports, minutes, department calendars, etc;
5.Prioritize and distribute electronic and standard mail, independently handling routine inquiries;
6.Order supplies, equipment, and arrange for maintenance services;
7.Make copies;
•Coordinate office operations for assigned program or department. Establish procedures, priorities and deadlines. Create and maintain documentation regarding job and office activities. Make recommendations for streamlining or process improvement.
•Ensure that operational documents are in order. Work with student or faculty involved and follow up to ensure that records are completed and all information is tracked and recorded.
•Create, modify, and/or maintain and archive physical files and electronic records using spreadsheet or database software such as PeopleSoft, BlackBoard, SharePoint, and Curriculum Development System. Ensure that records are up-to-date, accurate and accessible. May include records maintained in accordance with state, federal, provincial, or accreditation requirements. Assist users experiencing system problems.
•Prepare and proofread a variety of documents such as correspondence, spreadsheet or database reports, meeting notices and agendas, manuscripts, schedules, student evaluations, etc.

Minimum Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required. •High school diploma or equivalent required. Bachelor's degree preferred.
•Minimum of three to five years of related experience.
•Work experience in higher education environment preferred.
•Must demonstrate a high level of customer service, attention to detail, and organizational and problem-solving ability.
•Ability to perform job duties with minimal supervision, effectively prioritize work, multi-task and adjust to changing workloads and deadlines.
•Ability to maintain a high level of discretion and confidentiality.
•Ability to read, analyze and interpret documents such as safety rules, operating instructions and procedure manuals. Ability to write routine correspondence. Ability to speak effectively before groups of customers or employees.
•Proficiency with MS Office products, including Outlook and advanced functions of Word, Excel, and SharePoint. Ability and willingness to learn other business software, including learning management systems.
