Japanese-speaking Bilingual Executive Support & Coordinator – 12 to 16 month contract full-time

Due to a maternity leave, we have an opening for a full-time, Japanese-speaking bilingual Executive Support & Coordinator position which will be 12 to 16 month long. This person will coordinate our Japan Lean Tour programs while our current Executive Assistant is on a maternity leave. As we are a growing company, there may be a longer-term position at the end of the contract period.

This person may have to travel to Japan twice a year to coordinate the Japan Lean Tour program we organize for business executives.

Responsibilities:
The Executive Support & Coordinator is responsible for coordinating a variety of tasks related to running seminars, workshops, events, and programs. These training or hands-on events are held in variety of places, though most of the coordination work will be handled primarily out of our Vancouver office. This person will also directly report to the president and perform a variety of executive assistant jobs.

The position offers high mixture of activities, including:

• Project coordination tasks such as event management, venue planning, project scheduling
• General business administrative work
• communicating with program participants and potential clients
• marketing efforts including program announcements
• planning, preparation and organization of our programs
• managing the arrangements for program requirements
• research for projects and new initiatives
• coordinating our social media (blog, website, Facebook, Twitter)
• managing networking events for clients and programs
• developing creative ways to stimulate “lean thinking”

You are someone who thrives in a high-volume, fast-paced environment. With programs running simultaneously, often under tight pressures and deadlines, the ideal candidate will be someone who thrives in a customer-oriented environment and is comfortable handling a variety of programs at the same time. You will provide a variety of program support to the president and coaches. This position may involve some travel to cities in North American, Asia and Europe. This is position for people with some experience being an executive assistant, marketing, customer service, or business administration.

Requirements

• university or college degree
• an equivalent of 2 to 4 years executive assistant, marketing, customer service, event management or business experience through co-ops, interns, or related employment
• fluency and accuracy in written and spoken English
• fluency and accuracy in written and spoken Japanese
• ability to communicate professionally
• strong coordination and organization skills
• meticulous attention to detail
• ability to take initiative and work independently under tight deadlines
• outstanding interpersonal skills - team-oriented, outgoing, a customer-service attitude
• strong computer skills in MS Office, Excel, Power Point
• experience dealing with social media marketing
• valid driver’s license
• work permit, work visa, permanent residency status or Canadian citizenship is required
