Inlingua Vancouver is an English Language school located in downtown Vancouver. We cater to ESL students from all over the world and we are seeking an experienced Administrative Officer fluent in English, Mandarin and Japanese to work on our Administrative team.
ADMINISTRATION OFFICER
Main Functions:
Working at our Downtown location, the Administration Officer supports the Director, the Marketing Team, Instructors and Students. When necessary, the Administration Officer also inputs data and counsels students regarding programs.
REPORTS TO:
Director, Marketing Team and the Director of Studies
DUTIES:
The Administration Officer performs the following duties:
• Front Desk Reception
• Coordinate offsite class logistics
• Responsible for petty cash reconciliation
• Manage a testing center and proctor exams when required
• Assist the Marketing Department and the Director of Studies
• Help promote the school the school programs to potential students
• Help translate and coordinate the creation of promotional materials
• Assist in maintaining the office, common rooms, testing center, classrooms and equipment
• Filing and management of invoices and evaluations
• Provide information to students and the public in person and by phone
• Administrative work related to the reception and enrolment of new students such as filing, faxing and emailing information
• Help coordinate information related to all aspects of student recruitment, enrolment, admission, payment and the creation of id cards
• Track the academic progress of students including weekly graduation certificates
• Daily updates of the school general database with student academic marks, general comments and new registrations
• Counsel active students regarding academics, accommodation and other matters in person, over the phone and by email
• Coordinate all counselling with the Directors of Marketing and the Director of Studies or any other relevant person
• Help the marketing department with Japanese and Taiwanese Students/Agents
• Help translate and coordinate the creation of promotional material such as the website, leaflets and promotions
• Help accept and process payments from students and agents by mail, in person, in cash, by cheque or by credit card
• Help maintain control the inventory of books and office supplies
WORKING CONDITIONS:
• Workweeks are five days, Monday to Friday, 8 hours per day, starting at 8:30AM
SALARY/BENEFITS:
• $13/hr
• Extended Medical Plan Assistance after 3 months
EMPLOYMENT REQUIREMENTS:
The successful candidate will have the following:
• 3-5 years related experience, preferably in a supporting a training/learning environment
• College diploma and/or certificate
• Strong computer skills
• Ability to communicate in person, by phone or by email in Japanese, Mandarin and English
• Excellent planning and organizational skills
• Ability to multitask under tight deadlines
• Ability to work independently as well as within a team
• Excellent inter-personal and communication skills
• Be familiar with various cultures
